Invite teammates to a workspace
On this page
Inviting someone
If you have member-management authority, open Organization, then Members, and choose Invite members. Enter the teammate's email and optional name, choose a role, and send the invite. Sent invites are listed under Invitations, where each one can be resent or revoked at any time before it is accepted.
Account names
Each person has one account name across Mari Yangu. An optional invitation name fills a missing account name when the invitation is accepted; it does not replace an existing name. Members can update their own name in Settings, Account. Administrators can also correct a member's name from Edit member, for anyone whose role they can already manage; the member keeps the ability to change it back. Reports use the account name, falling back to email when no name has been set. Generate a new report after changing your name; an already downloaded report keeps its original contents.
Roles
The workspace owner is set automatically when a workspace is created and cannot be assigned via invite. Member count is not limited. On Pro, the organization owner can edit and manage members while other assigned members are viewers. Team and Unlimited add the roles below.
- 1
Admin
Manage all data and members.
- 2
Ops Admin
Manage workspace settings and members. No expense data access; organization billing requires separate authority.
- 3
Operator
Submit expenses and manage workspace operations.
- 4
Member
Submit and manage your own expenses and reports.
- 5
Viewer
Read-only access in authorized workspaces; organization-wide visibility requires organization membership.
Accepting an invite
An invite link opens a preview showing who invited you, the role offered, and the workspace name. Sign in to accept it, the workspace then appears in your account.
Assigned workspaces and personal access
Organization administrators on Team and Unlimited can choose a default workspace and enable Keep members in organization workspaces in Settings, Workspaces. Staff invitations show their assigned workspace and role before acceptance. Organization-only invitations do not grant expense submission. Changing a default affects future invitations; pending invitations need an explicit assignment change. If an invitation changes while you accept it, review the refreshed preview and accept again.
For ordinary Members in one organization, an unused personal fallback may be hidden and new personal workspace creation restricted. Existing personal records and offline captures remain available. Viewers, administrators, and people in multiple organizations keep normal personal controls. Leaving the organization restores access to your currently authorized personal workspace; it does not move organization records or pending captures there.
You keep the same account after departure. If you rely on a work email address, establish an independent verified login method before losing that mailbox. Changing your verified email does not restore organization membership or transfer its records.
